Before you start
- Every team member can open Stories. What you can do with a story depends on your role. See Roles explained.
Steps
- Open Stories (menu name All stories).
- Type in Search headlines to find a story by its headline.
- Tap a Status chip to filter: Draft, In review, Scheduled, Published, Unpublished, Retracted, Archived or In trash. You can pick more than one.
- Tap My articles to see only your own. If the breaking label is on for your site, a Breaking news chip also appears.
- Use Category, Author and Type to narrow the list. On a phone, tap More filters first.
- Tap a story to open it in the editor. Tap New story to start a new one.
- The list loads 20 at a time. Tap Load more for the rest.
Work on many stories at once
- Tap Select at the top. Tick the stories you want, or tap Select all shown or Select all matching.
- A bar appears with the actions your role may use: Publish, Schedule, Unpublish, Archive, Move to section, Add tag, Change author, Assign, Move to trash. Open the More actions menu for the rest, including Export (JSON).
- Confirm. You see how many stories changed. Stories that could not change are listed with the reason, for example "Someone is editing it right now."
- Tap Done selecting when finished.
In the trash view, the only action is Restore.
Good to know
- You can tick up to 100 stories by hand. Select all matching picks up to 5,000, and more than 100 run in the background. See Bulk jobs.
- Export CSV is shown to people who can read all stories. Export (JSON) exports the selected stories, up to 100 at a time.
- Each filter is kept in the page address, so you can bookmark a filtered list.
Common problems
- "No articles match these filters." Your filters are too narrow. Tap Clear filters.
- "You can select up to 100 stories at a time." You ticked more than 100 by hand. Use Select all matching for large jobs.
- "It isn’t ready to publish (open it to see what is missing)." A story in your selection fails the publishing checks. Open that story and fix what is listed. See Publish, schedule and review.
