Open this page: admin.<your-site>/settings/data (replace <your-site> with your site address)
Before you start
- Only the site owner can open this page.
Steps
- Open Settings → Advanced → Backups & downloads.
- Read Backups. Your site is backed up automatically. You don't need to do anything.
- To get one copy of your whole site, use Download everything (see below).
- To get your stories, see How do I download all my content?.
- To save your settings, see How do I back up my settings?.
- To bring settings back, see How do I restore my settings?.
- Find your files under Recent exports.
Download everything
- Under Download everything, check the size. Big sites come in several ZIP files of up to 2 GB each.
- Tick Email me at … when it’s ready if you want an email.
- Press Make my full copy. You can leave the page; it keeps going.
- When it says Ready, press Download for each part. Unzip all parts into the same folder.
The copy has your stories, pages, pictures (original size), videos, files and settings. Stories also open as web pages in any browser. A README file explains each folder. You can make one full copy every 6 hours.
Good to know
- Automatic backups: every night we back up your stories, pages, settings and site setup. Backups are locked, kept away from your server for 90 days and tested every week. Uploaded images and videos are not included in the nightly backup yet; use Download everything to keep a copy of them. The time of your last backup is shown on keynate.com.
- A backup is also made before every update, so a failed update is undone.
- Files stay on your server for 24 hours (full copies 3 days, safety backups 30 days), then they are deleted.
- A download link works once. A full copy's link works for a day, so a stopped download can carry on. Press Download again for a new one.
- Include personal data (readers, newsletter subscribers, internal notes and sources) asks you to sign in again, and the download is recorded in the activity log.
- Export states: Waiting, Working, Ready, Failed, Cancelled, Deleted.
Common problems
- "The server ran out of disk space. Free some space and try again."
- "The server could not write the file. Try again."
- "The export failed. Try again, or ask the AI for help on the Problems page."
- "You can make one full copy every 6 hours. Your next one can start at …" Wait until that time.
- "Your server is low on free space for a copy this big." Delete old files in Media, or ask the AI for help on the Problems page.
