How do I archive or delete old stories automatically?

In this story

Where: Settings → Team & security → Retention

Open this page: admin.<your-site>/settings/retention (replace <your-site> with your site address)

Before you start

  • You need the permission to manage retention. Setting a legal hold also needs the legal-hold permission.

Steps

  1. Open Settings → Team & security → How long we keep things.
  2. Use Find a section if you have many.
  3. On a section's card, turn on Apply this rule.
  4. Under What happens, choose Archive the story or Move to the trash.
  5. Set After how many days.
  6. For a legal hold, turn on Legal hold on this section and write Why (shown to the team).
  7. Save. The page says "Retention rule saved."

Good to know

  • Every night the rules run. Archived stories show "no longer available". Stories in the trash are deleted for good after the trash days.
  • A legal hold on a section or a story stops both the rule and the trash purge.
  • Each card shows the last run, for example "Last run 2 hours ago: 4 stories".
  • Every change is in the audit log.

Common problems

  • "No sections yet. Add sections first; then set how long their stories stay."
